Office Assistant Responsibilities:
  • Lead Management: Monitor all lead sources to ensure potential customers are contacted promptly (ideally within 5 minutes). Follow up persistently with unreachable leads through calls, texts, and emails until successful contact is made.

  • Communication: Respond to all incoming calls, texts, and emails promptly. Document interactions in HubSpot and relay messages, especially those from the website chat feature, as soon as possible.

  • Daily Reporting: Track and report daily statistics, including call volumes and contact rates.

  • Outbound Communication: Initiate outbound calls, texts, and emails to engage with customers and leads.

  • CRM Management: Enter and update customer and job information in the CRM system to maintain accurate records.

  • Calendar Management: Create and update appointment schedules for sales representatives to ensure efficient time management.

  • Office Maintenance: Keep the office organized and clean on a daily basis to create a welcoming environment.

  • Appointment Follow-Up: Conduct follow-ups after appointments to gather customer feedback and impressions. Inquire about any demonstrations performed or estimates provided.

  • Post-Job Analysis: Follow up on lost jobs to understand the reasons customers chose other contractors, including the solutions and pricing they received.

  • Opportunity Management: Check in on follow-up opportunities that representatives have not addressed within a week, unless they have an existing task with a future due date.

  • Reception Oversight: Maintain an organized reception area and ensure a positive first impression for visitors.

  • Review and Testimonial Management: Follow up on customer reviews and video testimonials to enhance the company’s online presence.

  • Research Assistance: Support sales representatives by researching and gathering additional information from manufacturers, suppliers, and contractors.

  • Marketing Support: Assist the Marketing Manager with data collection and reporting to inform strategic decisions.

  • Testimonial Scheduling: Coordinate the scheduling of customer testimonials.

  • Customer Feedback Collection: Request reviews and customer feedback through surveys, and create valuable insights from the data gathered.

  • Outbound Calling for Marketing: Support marketing initiatives by making outbound calls to gather information on events, including dates, times, and costs.

  • Content Creation: Assist in producing product videos and service information tips to enhance customer engagement.

  • Newsletter Creation: Contribute to the development of monthly newsletters to keep customers informed about company updates and promotions.

  • Event Coordination: Schedule events for sales representatives and ensure all necessary information is accurately recorded.

Production Assistant Responsibilities:
  • Deal Paperwork Review: Review deal paperwork and prepare for final measurements.

  • Final Measurements: Conduct final measurements to ensure accuracy for project specifications.

  • Project Preparation: Prepare project details and rough drawings for the architect, collaborating to clarify and adjust drawings as necessary.

  • Customer Approval: Provide initial drawings to customers for preliminary approval, ensuring alignment with their expectations.

  • Engineering Stamps: Obtain necessary engineering stamps to facilitate the approval process.

  • Final Drawing Approval: Secure final drawing approval from customers to move forward with the project.

  • Permit Management: Manage the permit process by supplying the Assistant with the required project details and drawings for permit approval.

  • Inspection Coordination: Communicate with the Assistant to schedule inspections and keep the project on track.

  • Materials Breakdown: Perform a materials breakdown based on supplier specifications.

  • Material Orders: Submit and verify material orders with manufacturers to ensure timely delivery.

  • Crew Work Orders: Create work orders for crews based on trade types to facilitate efficient operations.

  • Installation Preparation: Ensure all materials and necessary equipment are ready for installation, and that crews are prepared for the job.

  • Install Calendar Coordination: Place projects on the install calendar with estimated start times.

  • Field Quality Control: Conduct quality control checks and final walkthroughs in the field to ensure standards are met.

  • Material Deliveries: Handle miscellaneous material deliveries to job sites as needed, including materials-only jobs.

  • Team Leadership: Lead the production team, including Solar Project Managers and Outdoor Living Project Managers, ensuring effective collaboration.

  • Recruitment and Training: Recruit, hire, onboard, train, coach, and evaluate new production team members and subcontractor crews.

  • Business Preparation: Anticipate upcoming company needs and prepare the production team to handle new business opportunities.

  • Project Manager Backup: Provide backup support to Project Managers during their vacation periods.

  • Production Oversight: Maintain production output, ensuring no customers are overlooked and that projects are not delayed without external causes.

  • Knowledge Acquisition: Continuously acquire new knowledge related to installations (e.g., solar panels on various roof types) and use it to train crews.

  • Work Planning and Direction: Plan, assign, and direct work, maintaining schedules for multiple work crews.

  • Operational Coordination: Prepare operational schedules and coordinate install activities to meet production and quality specifications.

  • Job Scheduling: Schedule jobs by coordinating material delivery, work crew assignments, disposal removal, and customer availability.

  • Scope Verification: Verify and refine job scopes before delivering them to work crews.

  • Final Walkthrough: Ensure quality of work by conducting final walkthroughs, confirming that crews adhere to job scopes.

  • Policy Compliance: Develop, communicate, and ensure compliance with all company policies and procedures.

  • Crew Performance Appraisal: Assess and appraise the performance of work crews regularly.

  • Complaint Resolution: Address customer complaints and resolve installation and job-related issues efficiently.

  • Customer Issue Assessment: Visit locations to assess and troubleshoot customer issues personally.

  • Positive Customer Relations: Maintain positive relationships with all customers, ensuring their satisfaction.

  • Repair Capabilities: Possess the ability to make repairs for customer issues and provide estimates for repairs and miscellaneous jobs.

  • Crew Relationship Development: Develop relationships with, hire, vet, and assess work crews for efficiency and effectiveness.

  • Installation Assistance: Assist crews with installations and repairs as necessary.

  • Production Reporting: Track and report daily, weekly, and monthly production statistics to monitor progress and performance.

Sales Assistant Responsibilities:
  • Availability for Appointments: Be accessible for customer appointments during evenings and Saturdays, in addition to regular weekday hours, to accommodate client schedules.

  • Structured Sales Presentation: Deliver a well-organized and engaging sales presentation that effectively showcases our offerings.

  • Quote Preparation: Prepare and present accurate price quotes during appointments, ensuring clarity and transparency for customers.
